Global Organizing Service Agreement

SCOPE OF WORK - TIMELINES AND EXCEPTIONS

After the initial needs assessment (to be conducted prior to the start of services and documented in writing), the parties will agree upon the scope of work, including but not limited to: hours, materials, equipment, and other resources.

The agreed Scope of Work will be approved by both parties and attached to this agreement as a reference during project completion. Any changes to the Scope of Work must be approved in writing by both parties and may result in adjustments to fees and/or timelines.

You can save an additional 15% when you sign this agreement and commit to complete the project within 60 days from the first scheduled service day. This discount is contingent upon the project being completed within the 60-day period due to client availability and cooperation. Delays caused by factors outside the client’s control will be reviewed in good faith and will not automatically void the discount.

FEES & PAYMENT TERMS

The following factors will be considered in order to determine cost-effective and time-efficient decisions: 

  • Hourly rate vs. project-based rate (to be specified in writing prior to project start)
  • Minimum and maximum project hours (to be specified in the Scope of Work)
  • Mileage (this fee applies to all work performed more than 15 miles from the Global Organizing home base; current mileage rate is $1.00 per mile beyond the 15 miles (each way).
  • Other details to be discussed with the clients based on the individual project.
  • The general hourly rate ranges between $90–$400 depending on the type of work, the scope of the project and the number of team members working in the project. If a project-based rate is selected, it will be clearly outlined in the Scope of Work.

Parking fees and supply costs are added to the invoice. Client approval may be required prior to purchasing supplies above an agreed threshold.

DEPOSIT 

A 40% deposit is due before project initiation. The deposit will be credited toward the final payment. The remaining balance is due upon project completion.

GUARANTEES

Global Organizing will make best efforts to complete all work within the time frame established in this agreement and the approved Scope of Work. Project timelines are estimates and may be adjusted due to circumstances outlined below.

If the project is delayed or interrupted due to client-related constraints, new timelines will be discussed. Such delays will not affect the agreed contract fees or the evaluation of Global Organizing services. Client-related reasons for delay may include, but are not limited to: • Third-party or vendor delays required for Global Organizing to proceed • Client payment delays • Client-requested changes to the Scope of Work • Materials requested for the project not being available within the contract timeframe

If the project is delayed or interrupted due to Global Organizing constraints, new timelines will be discussed in good faith.  Organizer-related reasons for delay may include, but are not limited to:

  • Organizer experiences serious illness
  • Organizer has an accident that prevents adherence to the established timeline. If the organizer is delayed more than one week, Global Organizing will assign a replacement organizer when reasonably possible.
  • Organizer identifies safety concerns related to the job. In such cases, the client and all relevant parties will meet to discuss the concerns and develop an action plan to resolve the matter and proceed safely.

CANCELLATIONS

The client may cancel the organizing project at any time. If cancellation occurs less than five (5) days prior to the scheduled service day, the deposit is non-refundable. Cancellations made more than five (5) days in advance will receive a refund of the deposit minus any costs already incurred and a minimum of three administrative hours fee.  If materials have been purchased, the client agrees to reimburse Global Organizing for all expenses, including the time spent purchasing and traveling to secure supplies. Rescheduling requests will be accommodated when possible  (up to three times) and are not considered cancellations if agreed to in writing.

WORK CONDITIONS

Focus on Project – The client agrees to remain engaged in the project, including making time for meetings and discussions regarding progress or issues that may arise.

Safety – The client agrees to maintain a safe working environment for the organizer and all parties involved and to eliminate known hazards or barriers that may impede project completion.

Daily Hours – The organizer will not work more than eight (8) hours per day on any project. When working six (5) or more consecutive hours, the organizer must be allowed a 30-minute lunch break and two 15-minute breaks.

DONATIONS & DISCARDS 

At Global Organizing, our priority is to ensure donated items are responsibly distributed and not sent to landfills when possible. Donation receipts are processed at the end of each month. Clients will receive donation receipts via email within one (1) month.

PHOTO AGREEMENT 

As part of standard practice, Global Organizing may take before-and-after photos of projects for documentation and marketing purposes. Photos may be used on social media, the company website, or other promotional materials. Client names and addresses will not be disclosed. By signing this agreement, the client consents to this photo policy unless they provide written notice opting out prior to the start of services.
